So this is a property manager's morning. Six calls came in after hours. Two of them Doorkeep took care of. Two are emergencies, so that's where we'd start. Heat was out in 5A last night.

The apartment was down to forty-seven degrees. Doorkeep answered, decided it was an emergency, and put Sarah straight through to Jenny, nine twenty to nine twenty-one.

Everything the agent did is right here. Who called, which property, what it decided, and when. And notice what's not here. Nothing about the heat itself and no promise that anyone was coming.

Its only judgment was that this one needed a person. Then it wrote the whole thing down. The call is here too, including the transfer. Six calls after hours, Jenny picked up one of them.

Setting up Doorkeep is four decisions. This is how Pinnacle Property Management made them. First, what a caller hears. That's the actual line word for word. It says it's an AI, and it says, "This call is being recorded." Neither of those is optional.

Second, when it answers differently. Pinnacle picked weekdays one way, nights and weekends another. Third, who picks up. Jenny is first. If she doesn't answer, Alicia, then Jason.

If nobody does, it takes a message. And the line at the bottom is the one that isn't a setting. A real emergency reaches a person no matter what. Fourth, what it's allowed to tell people.

Twenty-four facts that Pinnacle wrote. The assistant reads these. It doesn't improvise past them. Four decisions. That's a setup.

Office hours reach a person. Overnight takes a message. Same number either way.

There are three ways to configure call windows. Same handling around the clock, days versus nights. Or something custom. Pinnacle runs days versus nights. Weekdays nine to five, somebody's there, so a caller gets put through to a person.

After five, it takes a message instead. Nobody's getting rung at eleven at night about a routine question. And it's not the same three people either way. Three during the day, two overnight.

Two windows, different behavior, different people, one phone number, and Pinnacle's tenants never had to be told anything changed.

What actually wakes me up at 2am?

The twelve situations Pinnacle decided were worth a call. Everything else waits until morning.

It's two in the morning and the phone is ringing. The only question that matters is whether that call was worth waking Jenny up for. This is your list. Twelve situations you've put on it.

Doorkeep starts everyone on twelve. Pinnacle kept all twelve. Anything here connects a caller straight through, whatever time it is. No heat, water leak, sewage backup, no electricity.

Two of them ask a question first. A toilet call gets asked whether it's the only toilet in the unit. A disposal call gets asked whether the sink is backed up. If the answer is no, it takes a detailed message instead of ringing anyone.

And if Pinnacle gets it wrong, one button puts Doorkeep's list back and keeps up with anything added later. Nobody should be deciding what counts as urgent at two in the morning.

Who else can it reach?

Jenny is not the only phone that rings. Who is on the list, and who is deliberately not.

Every call has to end somewhere, and the assumption is that somewhere is her. This is the after-hours list. Pinnacle keeps two, and there can be more. Paul does leasing.

He is not on this list, and that is a decision, not an oversight. Nobody gets woken at two in the morning for a leasing question. Everyone on the list gets the text notification, not just the first person it rings.

And a number cannot be typed in and rung. A new contact for the list is confirmed by text before Doorkeep will reach them.

No electricity at Cottonwood. 10:40 at night. Jenny did not pick up. So it kept going down the list, and Jason did both. Both of them had a text. Either way, and every step of it is written down.

And Jenny found out about it in the morning when she checked her text messages.

What about the calls that aren't emergencies?

Leasing, complaints, lockouts, and the routine question at eleven at night. Each one handled its own way.

Most calls are not emergencies. A leasing question, a complaint about the neighbor's dog, a routine maintenance issue. The worry runs both ways. Miss the real one or treat all of them like it.

Each kind of call type gets its own handling, and any of them can be tailored. Maintenance rings a call list. A leasing call becomes a lead. Complaint becomes a message.

A general question gets answered from what Pinnacle already wrote down, and when the answer isn't there, that becomes a message too. Then the last one. A lockout at midnight is urgent for whoever's calling, and plenty of the managers would want a person rung for that.

Pinnacle's assistant doesn't. It takes the details and notifies them. It doesn't unlock anything, and it doesn't promise anyone is on the way. Nothing on this list gets ignored.

Every one of them gets written down. They just don't all reach Jenny at the same time.

Pinnacle wrote every fact the assistant can share. Nothing reaches a call until they turn it on.

The worry with an AI on the phone is that it makes something up about the lease. There's nothing here to make up from. Every fact on this page is what Pinnacle typed in.

And these four still come back to the office. Move out, lease terms, pets, rent, written by hand and still not the assistant's to answer. This one's the assistant just answers.

Ten at night to eight in the morning, a caller gets that in those words.

A lease or a policy doc goes in the same way. The file is read once and not kept. What it pulls out runs the same checks a typed fact runs and lands in review with everything else.

Fourteen facts are sitting in review right now. Pinnacle has not turned them on, so no caller has heard one of them.
